Whether your BizTechDay is large or small, we have some tips to help it run smoothly.

Logistics

Register your event with us. Even if you’re holding a private party for your entrepreneur buddies, we’d love to know what you have planned, and include your event on our global map. (Note: You do have the option not to reveal your location or contact information in your event listing.) Sign up to host an event.

Mark the time. The program starts at 10:00 a.m. on October 22 and 9:00 a.m. on October 23, 2009 San Francisco Time.

Technical Stuff: The BizTechDay program will be broadcast online. For online viewing: Make sure you have the right software (Flash v. 9 or higher), and test your connection ahead of time.

Get ready to share photos and video on Facebook. Hosts worldwide will be uploading photos and videos of their local BizTechDay Meetups. Many will be shown during the live televised broadcast and featured on our web site. Facebook BizTechDay site is the official home for BizTechDay media-sharing. To be ready, join the BizTechDay Facebook Page today.

Get ready to Tweet. If you plan to tweet about BizTechDay meetup, use #biztechday! We will live stream your tweets during our San Francisco event. Don’t forget to follow us!

Make sure you have a permit. If you’re hoping to host a BizTechDay meetup in a public park or outdoor space, contact your town or city officials well in advance for any necessary permits.
Consult an audiovisual specialist to plan your viewing conditions, and make sure both your connectivity, projection system, and sound system are all in order.

Invite local speakers. Having live speakers creates a more vibrant meetup; it also gives you an opportunity to tie the global conference into your local community. Invite and confirm your special guests as soon as you can, and don’t forget to ask them if they have any specific audio-visual requirements.
Food and drink. If you’re providing food at your meetup, you’ll want to place orders at least three weeks in advance. You may ask a local restaurant to become your food sponsor.

Get the word out

Contact your local broadcaster and encourage them to carry the BizTechDay program. This ensures you’ll have the program available to you via television. The current list of broadcasters will be available on our web site mid-April.

Develop a web site or blog to promote your BizTechDay meetup, and link to www.biztechday.com for all the up-to-date program information. Be sure to email us at friends@biztechday.com so we can be sure to watch for it.

Let your local newspaper know about your event. Contact your local newspaper’s at least 4 weeks before your event if you’d like to be included in their public events listings.

Social Media Sites Aside from newspaper listings, you can publicize your BizTechDay Meetup on Facebook, Twitter, Blogs, or simply by contacting local entertainment web sites and sending notices to local entrepreneur organizations.

Invite bloggers and reporters to attend. 2-4 weeks before your Meetup, follow up with local reporters and bloggers, and invite them to attend. Ask journalists to contact BizTechDay directly for more information by submitting a Press Inquiry.
